I got a proposal from Marriott Regional (well, 3 actually):How close are these hotels to our potential service location, the Central Virginia Food bank? Since the room rates are similar, I'm inclined to go for one of the hotels that has a board room available. When do we have to make a decision to lock in the hotel reservations?

Conference room all day Saturday at $300, we can bring
in food/beverage if we sign a waiver

I need to send a kick-start email; nobody else seems to have expressed interest in things at the moment. I'll do that later today.
Also, are we interested in having dinner catered? From Jamie:
Can we bring in outside food? I.e., can we 'hire' our own caterer for the dinner? I'm thinking about BBQ from a local place, say Andy's, Buz'n'Neds, Smokey Pig, or even Ukrops...but need to know what the restrictions are on that kind of stuff for where we land. Or even if BBQ is something folks are interested in? LMK - and if this is something to pursure, I'll be happy to do some legwork on this end, since JTC is covering service...It seems that both hotel locations that have board rooms available also allow outside food if we sign the proper forms.
